Before you start
- Client conversations with your notes in them: promises come only from what you wrote in your own conversations with a client (see Use your earlier work with a client).
Write promises down as they are made
Paste call notes or say it in any conversation with the client, for example “Rina will send the vendor admin access by Friday the 16th. We’ll send the training plan by Thursday.” After the answer, AgentHub keeps each promise with who owes it and its date, read from your note’s own day. A suggestion (“we could”), a question or a request nobody agreed to is not a promise. Words that do not name one day, such as “next week” or “soon”, give No date; AgentHub never guesses one.
See them on Home
On Home, your promises sit with your shared work in two lists. Needs you (in a team, Needs attention) holds the promises you owe, the ones that need clarification, and shared work such as client messages to review and requests to move on. Waiting on others holds the promises someone else owes and the approvals you asked for. The person named on a promise may work at the client or somewhere else, such as a vendor: Home shows the name your notes give.
Each promise shows the client, when it is due (Due today, Due Friday, 3 days overdue, No date), who owes it, From your notes with the date, linking to the message, and Only you. Only you see your promises; they are never counted on anything your team sees. Your most overdue promise, or else one due today, is shown larger at the top. Open note opens the message it came from. Each list shows its first rows; Show N more opens the rest in place, and Show fewer closes them.
Rows that need clarification
A row says Needs clarification when your notes give two versions of it, when who owes it is not clear, when the date moved with no new date, or when the notes may be about other work. It never shows as due or overdue, and it cannot be drafted. Choose Clarify to open the conversation and say what is right in plain words; the row updates once AgentHub has read your reply. A row that says May have changed has a newer note AgentHub has not read yet.
Done, Edit and Not a follow-up
Done marks your personal promise done; it is your note, not a check that client work happened. In the ... menu, Edit corrects the words, who owes it or the date, saved as Edited by you, and Not a follow-up takes it off Home only; your notes and memory still have it. A row moves only once the change is saved. A line at the top of the list then confirms it, with Undo after Done or Not a follow-up. If you change who owes it, the line says where the promise moved. A note you write later about the same promise wins over all three, so a reopened promise comes back. Done in the last 7 days, at the bottom, lists what you marked done and what a later note closed, with Undo for your own.
If you can only view
Viewers, and everyone in a read-only workspace, still see their own promises and the notes they came from, and can open the shared records. Buttons that change anything are not shown, and shared rows read Open.
Draft a follow-up
When a promise owed by someone else is due or overdue, choose Draft follow-up. A page opens with the promise and a box that says “Draft a short, friendly follow-up.”; change it if you like and choose Send. That starts a new conversation with the client, and the answer is the draft, keeping the date that was missed. Nothing is sent to anyone: choose Copy and send it from your own email. If the promise changed or was turned off before the draft was written, nothing is drafted and the answer says what changed.
Verify it worked
- Write a promise with a date in a client conversation, then open Home and check that it is under Needs you (or Waiting on others, if someone else owes it) with the right day.
- Choose Done on it, check the line that confirms it with Undo, and check that it shows under Done in the last 7 days.
Common issues
A promise from before is not on Home.
Promises already in your notes are found by reading recent notes again (the last 60 days, up to 40 notes per client) in the background, within your workspace’s AI limits. While that runs, Home says Reading your earlier notes for follow-ups; if some were not read it says Some earlier notes were not read for follow-ups. Say the promise again in a conversation and it is added.
The date is wrong.
Choose Edit and set the date, or say the right date in a conversation with the client. A note you write later wins over your Edit.
This changed since you opened Home.
Something about that promise changed after the page loaded, so nothing was done. The list now shows it as it is; choose again.
Home says my follow-ups could not be read.
Your shared work still shows, and the counts say shared, because your promises are not in them. Nothing is lost. Reload Home to try again.
Home says it is showing loaded items.
Home reads a large but limited number of records at once. When it reaches that limit, the counts cover what was loaded and a list may not be complete, so it says Showing loaded items; more may be available. Open Work for every request.
Does anyone get notified?
No. Marking a promise Done, editing it or choosing Not a follow-up does not notify anyone or change a shared client record. A follow-up draft is text for you to send yourself.
