Before you start
- An owner, admin or operator role in a workspace with write access. Every answer is an AI step and counts toward your workspace’s AI limits; building, downloading, restoring and sharing a file are not AI steps.
Ask for the file
In a conversation, say what you need in plain words, for example “Create a SaaS P&L with monthly actuals, a budget and budget versus actual. Use fictional sample figures.” The menu beside the box is Auto by default: it answers, and makes or changes a file when you ask for one. Answer only never makes a file; Word document and Excel workbook make that kind, or change the selected file. The answer is short and the file appears as a card with its name, type, version and Download.
Review it before you use it
Select the file’s name to open Preview. A workbook shows one sheet at a time (on a phone, choose from Sheet); select a cell to see its formula, or use the arrow keys once the sheet has focus. Green cells are inputs. A document reads top to bottom; its page layout is in the download. The file is a draft from an AI answer. AgentHub calculates every formula and flags any that break; it does not check that figures, formulas or wording are right for your client. Read it before you send it to anyone.
Revise it by typing
Working on above the box shows the file and version your next message changes. With several files, choose one from the list there, or choose Work on this file in a card’s menu. Say what to change, for example “Add a payment processing line under hosting and include it in the cost of revenue totals.” Only what you ask for changes; the rest of the file is copied, not rewritten. The new version opens with one line saying what changed; the details are under Changes. Earlier versions stay under Versions in the card’s menu, where Restore makes an earlier one the newest version again, with no AI step.
Decide on a change that would remove something
If a change would remove something you did not ask to remove, it waits for you: the card says Review it first, lists every row, sheet or section under It would remove, and warns about formulas that would break. Your current version stays until you choose Use this version or Keep current version. Preview it shows the change first. Until you choose, AgentHub does not change that file again: a question is still answered, and the answer says the file was not changed.
Share one version by private link
Choose Share in the card’s menu, or on the file’s preview. Anyone with the link can read and download that version; no account is needed. Tick I reviewed this version and have permission to share it with anyone who can open this link., then select Create private link and Copy link straight away: the full link is not stored. A link always opens that exact version, even after later revisions. Revoke link under Active links stops the page and the download at once; copies already downloaded stay with the people who have them. Revoked and ended links move to Past links. Links also end when you leave the workspace, the workspace is archived, or you delete the conversation. Sharing sends nothing: you send the link yourself.
Verify it worked
- Open the file’s Preview and Download it, and check that the card’s version number matches the one you meant to send.
- After a revision, open Changes on the new version and check that only what you asked for changed.
- Open a link you made in a private browser window, then revoke it and reload: it shows This link is unavailable.
Common issues
A large file is taking a while.
A large workbook or document can take up to four minutes. The page shows the answer when it arrives. If nothing arrives after six minutes, the answer shows that no answer came back, and you can ask again.
“The file is saved, but it is not ready to download yet.”
The answer was saved and the file is being built from it. The card shows Preparing… and changes to Ready on its own while the page is open. If it shows Not prepared yet, select Try again: it builds the file from what was saved, with no new answer and no new charge. After five tries, restore an earlier version or ask again.
“The file was not saved: you can no longer add or change files in this workspace.”
Your role changed to Viewer or the workspace became read-only while the answer was being written. The answer was kept; the file was not. Your earlier files stay readable and downloadable.
“The file chosen for this question is no longer available here.”
The file you had selected was deleted or can no longer be read here. Nothing was sent or charged. Choose a file under Working on and ask again.
A change was refused as too large, or the file has 50 versions.
Ask for fewer changes at a time, or a smaller file. A file keeps at most 50 versions; ask for a new copy to keep going.
A total does not include a line I added.
Adding a row works as it does in Excel: a total grows only when the row is added inside its range. Ask for the line to be included in the total, as in the example above, and check Changes.
I lost a link.
AgentHub does not keep the full link, so it cannot show it again. Open Share on that version, select Revoke link for the lost one under Active links, then make another and copy it straight away.
Where are my files when I export or delete a conversation?
Your conversation export lists your file versions with their download links; the workspace owner’s export never includes them. Deleting a conversation removes its files and ends their links at once.
