Invite teammates and set their roles

This guide covers inviting someone by email, what each role can do, joining a team from an invitation, and removing a person without losing their history.

Before you start

  • You are the workspace owner or an admin, and the workspace is on a trial or a paid plan.

Invite by email

Open Settings, then Team. Enter the person’s email, choose a role and select Send invitation. They get an email with a link that works for 7 days, for that address only. The link is also shown to you once, so you can send it yourself if the email does not arrive.

Roles: Viewer reads the record and changes nothing. Operator works on requests, changes, verifications and briefs, and adds prospects. Admin also manages settings and people, and decides which clients use a managed slot. The Owner is the only person who manages billing. Only the owner can make someone an admin.

There is no charge per person. Plans are priced by the number of clients.

Open Team

Join from an invitation

The invited person opens the link, then creates an account or signs in with the address the invitation was sent to, and selects Join.

Each person belongs to one workspace. Someone who already has their own AgentHub workspace sets it aside when they join. It has to be empty: no clients, records, connections, API keys, other people or billing. If they are removed later, it comes back as they left it.

Important: If their own workspace has anything in it, joining is refused and nothing changes. They can accept with a different email address, or email info@agenthub.ai.

Change a role or remove someone

On Team, choose a new role beside the person and select Save. To remove them, select Remove, then confirm. Their access ends at once, and their private assistant connections in this workspace are turned off. API keys they created stop working for good when they are removed or stop being an owner or admin; create a new key for any tool that still needs one.

Their name stays on every request, change, verification and brief they recorded. To bring someone back, invite them again.

Verify it worked

  • The invited address appears under Invitations waiting until it is used, withdrawn or expires.
  • After joining, the person appears under Members with the role you chose.
  • A removed person appears under Removed and can no longer open the workspace.

Common issues

Sending an invitation says to try again tomorrow

Each workspace can send up to 30 invitations in 24 hours, including ones you withdrew. Send the rest the next day.

The invitation says it is for a different email address

Sign out and sign in with the address the invitation was sent to. Only that account can accept it.

The invitation has expired or was withdrawn

Ask the owner or an admin to send a new one from Team.

A page says your workspace changed

You joined a team, or were removed from one, while that page was open. Nothing from it was saved. Enter it again in the workspace you are in now.

Invite is not available

Inviting needs a trial or a paid plan. Everyone already in the workspace keeps reading the record.
